1. About this policy

This policy explains how Comnectica Migration collects, uses, stores and shares personal information. It applies to people who visit our website, contact us, book a consultation, subscribe to our updates, or become our clients.

Comnectica Migration is a division of Comnectica Pty Ltd (ABN 20 654 117 807). Our principal registered migration agent is Kate Jackson (MARN 1281909). In this policy, “we”, “us” and “our” mean Comnectica Migration.

We handle personal information in line with the Australian Privacy Principles and our confidentiality obligations under the Code of Conduct for registered migration agents.

2. Information we collect

When you visit our website

Our website may collect technical information such as your device type, browser, the pages you visit and general location (for example, your city or country). This is collected through cookies and similar tools by WordPress, our website platform, and Google Analytics. We use it to understand how people use the website and to improve it. It does not tell us who you are.

When you contact us or book a consultation

If you send us an enquiry, email, call or message us, or book a consultation, we collect the information you give us. This usually includes your name, contact details, preferred language and a short description of what you need help with.

When you become a client

To give you migration advice and assistance, we need to collect detailed information about you and, often, your family members. Depending on your matter, this may include:

  • identity documents, such as passports, birth certificates and national identity cards
  • contact details and address history
  • family and relationship details
  • education, work and travel history
  • financial information, where a visa requires it
  • health information, including medical reports
  • character information, including police certificates
  • information about your experiences and reasons for seeking protection, where relevant to your matter

Some of this is sensitive information. This can include information about your ethnic origin, religious beliefs, political opinions, health, sexual orientation or criminal record. We only collect sensitive information with your consent and only when we need it for your matter.

Information about other people

You may give us information about other people, such as your partner, children, parents or sponsor. Please only do this when it is needed for your matter, and let them know you are sharing it with us and that this policy explains how we handle it.

Children

Some of our matters involve children. We usually collect information about children from their parent or guardian.

3. How we use your information

We use personal information to:

  • respond to your enquiry and arrange consultations
  • give you migration advice and assistance
  • prepare and lodge applications, submissions and requests for you
  • communicate with you, including through interpreters and translators
  • send invoices and receive payments
  • meet our legal and professional obligations, including record keeping
  • send you our updates, if you have subscribed

We will not use your information for anything unrelated to these purposes without your consent. We do not sell personal information.

4. Who we share information with

We only share personal information when it is needed for your matter or to run our practice. Depending on your matter, we may share it with:

  • the Department of Home Affairs, the Administrative Review Tribunal, the Minister’s office and other government agencies, as part of your matter and with your authority
  • members of our team who work on your matter, including team members who work from overseas
  • a lawyer we work with, where your matter needs legal review or sign-off
  • interpreters and translators
  • other people you ask us to deal with, such as a sponsor or another adviser
  • service providers who help us run our practice (see section 5)

We may also share information where the law requires or allows it.

5. Service providers we use

We use the following services to run our practice. Each of them handles information under its own privacy policy.

  • Acuity Scheduling, for consultation bookings
  • Stripe, to process payments, including consultation fees. We do not see or store your full card details.
  • Kit, to manage the email list of our Substack subscribers and send updates
  • Substack, to publish our updates
  • Claude, an AI assistant made by Anthropic, to help us draft, edit and translate documents. We may enter client information into it, including information about your matter, to help prepare your documents. We use settings that stop this information being used to train AI models, we only enter what is needed for the task, and a member of our team checks everything it produces before it is used.
  • Microsoft 365, for email and document storage
  • WordPress and GoDaddy, to run and host our website
  • Google Analytics, to understand how people use our website
  • WhatsApp, Viber and Facebook Messenger, if you choose to contact us through them

6. Information stored or sent overseas

Some of our team members work from overseas, including from Indonesia and Pakistan. Several of our service providers, including Acuity, Stripe, Kit, Substack, Anthropic, GoDaddy, Google, Microsoft and Meta (WhatsApp and Messenger), are based overseas, mostly in the United States, and may store information there. Overseas recipients may not be bound by Australian privacy law. We only share what is needed, and we expect our team members to keep client information confidential.

7. How we keep information secure

We take reasonable steps to protect personal information from misuse, loss and unauthorised access. These include password-protected accounts, two-factor authentication where available, and limiting access to people who need it for their work.

If a data breach is likely to cause you serious harm, we will tell you as soon as we reasonably can and explain what we are doing about it.

8. How long we keep information

We keep client records for at least seven years after a matter ends, as required for registered migration agents. After that, we securely destroy or de-identify them. Enquiry information from people who do not become clients is kept only as long as we need it.

9. Our updates and marketing

We only send you our updates if you subscribe. You can unsubscribe at any time using the link at the bottom of any email. Subscribing, following us or commenting does not make you a client.

10. Accessing and correcting your information

You can ask to see the personal information we hold about you, or ask us to correct it, by emailing migration@comnectica.com. We may need to confirm your identity first. In some cases the law allows us to refuse access, and if so we will explain why.

11. Questions and complaints

If you have a question or complaint about how we handle your information, please email us at migration@comnectica.com. We will try to respond within 30 days.

If you are not satisfied with our response, you can contact the Office of the Migration Agents Registration Authority (OMARA) at www.mara.gov.au.

12. Changes to this policy

We may update this policy from time to time. The latest version will always be on our website, with the date it was last updated.
